A retention rule binds an Odoo model and a filter to a retention class and to what happens at expiry: flag only, anonymise chosen fields, archive or delete. The period runs from record creation, from the end of the calendar year (§ 147 (4) AO) or from a date field such as the end of a relationship. Every run is a record of its own and writes one protocol line per rule.

Retention classes
Shipped with 10 years (books, annual accounts), 8 years (vouchers, invoices), 6 years (business letters), a purpose-based class and applicant data after 6 months, each with its legal reference and start trigger.
Start of the period
From record creation, from the end of the calendar year of creation (§ 147 (4) AO) or from a date field of the record; a grace period in days can be added.
Rules per model
A rule names the model, an optional domain filter, the class and the action at expiry. Anonymise rules only accept text, date and relation fields, archive rules only models that can be archived.
Dry run before anything changes
The preview lists, per rule, how many records are due today. A dry run counts and logs without touching a record; only a Retention Manager can run the real thing.
Legal hold
A rule under legal hold never anonymises, archives or deletes; the run logs its candidates with the hold flag.
Deletion protocol
Each run records who ran it, when, the candidates and the records actioned per rule. Completed runs and their protocol lines cannot be edited.
Company boundaries
Rules and runs carry their company, and a rule only reaches records of its own company (or shared records without a company).
Export the concept
Export Löschkonzept writes the classes with legal basis, period, start trigger and implementing rules into an HTML document you keep as evidence.

1. Retention rule
Applicant contacts are anonymised six months after the rejection: model, filter, class and the fields that are blanked.
